Privacy and data use

Clinical audio and text are sent only when you request transcription, generation or revision. Draft letters are saved to your own Google Drive. Clinical API responses are not cached by this app. While a recording is in progress its audio is held on this device only, until it has been transcribed. Use consultation recording only after confirming patient consent and follow clinic privacy procedures. Full privacy notice.

Saved letters

Correct / revise letter

Say a command then dictate the content — e.g. “Add examination, chest is clear, no wheeze, heart sounds dual” or “Change the plan, review in three months with repeat spirometry”. Works for Examination, Investigations, Impression, Plan, Social history and Past medical history. It edits the current letter only and won't invent clinical details.

Your personal letter preferences. Saved to your own Drive and applied to every letter you generate.

Abbreviations expanded before generating a letter (e.g. OSAS → obstructive sleep apnoea syndrome).

Replace Forever

Wording to change in every letter after it is written (whole words, case-insensitive). Select text in a letter and press “Replace forever” to add one quickly.

When you change the same wording in three approved letters, it is offered here (and under the letter) as a rule. Nothing is applied until you add it.

MBS Item Suggestions

After a letter is written, the app suggests the attendance item for a new (initial) or review (subsequent) patient. Enter the item numbers you bill — the suggestion is a prompt only and must be verified before billing.

Letterhead & signing doctor (PDF, Word and patient emails)

Exports use the practice letterhead (locations, phone/fax, website, logo, Healthlink and email — the same header as Clinic to Cloud letters) followed by the signing doctor's name, qualifications, title and provider number. Copy still copies the letter body only.

Workflow & Security

Approved letters are moved to the “Approved” folder inside “Clinic Letters” in your Drive; that folder is shared with this account so letters can be sent from the practice system.

Runs at sign-in on drafts in the top level of “Clinic Letters” only — approved and flagged letters are never touched. Binned Docs can be restored from the Drive bin for 30 days.

Start Clinic Session

Session settings persist for all letters until you press End Session.

Letter template

One section per line as Heading | instruction for that section. Headings are written in sentence case, in this order. Leave the instruction blank to use the house style for that section.

Flag this letter

Saves the notes, the letter and your comment to a “Flagged letters” folder in your Drive so the prompts and checks can be improved. Nothing is sent anywhere else.

Email a PIN-protected copy to the patient

Creates a password-protected PDF of the current letter with the practice letterhead and opens a pre-written email in your mail program. Attach the downloaded PDF, then give the patient the PIN separately (in person or by SMS) — never in the same email.

Create a document from these notes

Describe the document in one line. It is written from the same notes (nothing new is invented), checked for medications and unsupported statements like every letter, and opens as a new tab above the letter with its own Google Doc.

Who is signing this letter?

The exported letter carries the practice letterhead followed by the doctor's name, qualifications, title and provider number. Please confirm the doctor and type the provider number.
